XenForo New Member Onboarding: A 7-Day First Post Plan
A first-week plan built on XenForo's own settings to welcome new members, point them to an easy thread and reward their first post.

Good XenForo new member onboarding comes down to three moves. Greet people the moment they register, show them one easy place to post, and reward that first post. Everything in this guide uses settings already in your Admin CP on XenForo 2.2 and 2.3, plus two optional add-ons.
At the end you will find a simple way to measure how many sign-ups actually reach a new member first post within a week. That number tells you whether your changes are working.
The short answer: welcome, point to one easy thread, reward the first post
Most sign-ups never post. They register to read something, look around, and leave. Your job in the first week is to lower the effort of posting as far as possible. Here is the plan:
- Send a welcome email and a welcome conversation on registration.
- Show a notice only to members who have not posted yet.
- Give them an introductions forum with a pinned "reply here first" thread.
- Put threads that need replies right in front of them.
- Offer a lighter first step, such as a story, if you run XenForo 2.3.
- Reward the first post with a trophy and, if you like, a user group promotion.
- Check your first-post rate every week.
Turn on the welcome email and welcome conversation
XenForo can greet every new member automatically. Go to Setup > Options > User registration. In the New user welcome section you will find two separate toggles: Send welcome email on registration and Start welcome conversation on registration, as shown in this XenForo community thread on the welcome conversation.
A conversation is XenForo's name for a private message between members. A welcome conversation lands in the new member's inbox, so they see an alert badge the first time they look at the forum.
What to write
Keep both messages short and give one clear action. For example:
- Say hello by name and thank them for joining.
- Link directly to your "reply here first" thread.
- Tell them a real person will reply to them.
Send the conversation from a real staff account, not a faceless "Admin" account, and check in your own Admin CP which account it will come from. When a member replies, answer them. That reply is often their first post-like action on your site.
Show a XenForo notice for new members with zero posts
A notice is a banner XenForo shows at the top of pages to the people you choose. Open the Notices section of the Admin CP and add a new notice. On its user criteria tab you can target members by how many messages they have posted and by how long ago they registered.
Set it up like this:
- Write a short message, such as "Welcome! Say hi in our introductions thread" with a link to it.
- In the user criteria, limit it to registered members with a maximum of zero messages posted.
- Optionally, limit it to members who joined in the last 7 days, so long-time lurkers are not nagged forever.
- Allow members to dismiss it.
Because the notice uses message count, it disappears on its own once the member posts. Field names can differ slightly between versions, so look for the message count and registration date criteria in your own Admin CP.
Set up an introductions forum and a "reply here first" thread
A blank editor is scary. A thread that literally asks you to reply is not. This is the easiest way to welcome new members in XenForo.
- Go to
Forums > Nodesand add a new forum called "Introductions" or "Say hello". - Check its permissions so the Registered group can post threads and replies there. Registered is the group for all confirmed members, while "Unregistered / unconfirmed" covers guests and accounts not yet confirmed, per the XenForo group permissions manual.
- Start a thread with a simple prompt, such as "Tell us one thing you're working on this month." Answer the first few replies yourself.
- Stick the thread so it stays at the top.
Make sure those posts count
Each forum has an option to count messages posted there toward the member's total. Leave it on for your introductions forum. If it is off, notices, trophies and promotions based on message count will not see that first post.
Guide newcomers to threads that need a reply with widgets
After the introduction, new members need a second easy post. Threads with zero or few replies are ideal: nobody has answered yet, so any reply helps.
XenForo's built-in widgets (Appearance > Widgets) include a "New threads" and "New posts" block you can place on the forum list or in the sidebar. They show fresh activity, which is a good start. What they cannot do is sort threads by how few replies they have.
The free D.C Style Widgets add-on adds a [DC Style] New Threads widget that can sort by reply count, post date, view count and more. It can also limit threads to the last few days, to specific tags, or to the forum a member is currently viewing. So you can build a "These threads need an answer" block of recent, quiet threads and place it where newcomers land.
Offer a low-pressure first step with Stories
Some members will never write a paragraph in week one, but they will share a photo. Stories are short, expiring image, video or text posts shown in a bar at the top of the page, like on Instagram or Facebook. XenForo does not include them, so this step needs an add-on.
The Story add-on adds a stories bar, reactions and comments on stories, polls, and the option to share a thread or post to a story. It also has badges, including one to recognize newcomers. It needs XenForo 2.3.0 or later.
Two tips for onboarding:
- Story permissions default to "No", so grant posting to your Registered group under
Users > User group permissions. The Story setup guide walks through permissions and widgets. - Mention stories in your welcome conversation as an easy alternative to a first post.
Reward the first post with trophies and a user group promotion
A small reward right after the first post tells members they did the right thing.
A "First post" trophy
Trophies are awards XenForo gives automatically when a member meets criteria you set. Go to Users > Trophies and add one called "First post". In the award criteria, set User has posted at least X messages to 1 and give it trophy points. This is the same setup shown in a community thread on message-count trophies. Check your trophy list first in case a similar one already exists.
A user group promotion
A user group promotion moves members into an extra group once they meet criteria. Go to Users > User group promotions, add a promotion, check User has posted at least X messages, and add the member to a secondary group. XenForo's manual uses this pattern with a value of 5 to lift new user restrictions after a few posts. For onboarding, you could use 1 and give that group a small perk, such as a signature or a custom title.
Measure XenForo new member onboarding: first posts within 7 days
Pick one number and watch it: of the members who registered in a given week, how many posted at least once?
Use a group old enough to have had a full week. If you have database access, this query counts members who registered 8 to 14 days ago and how many of them have posted:

AND UNIX_TIMESTAMP() - 8*86400;Divide posted by signups for your first-post rate. It relies on message count, so posts in forums that do not count messages are left out. It is also "posted at least once so far", which is close enough to "within 7 days" for a weekly check.
A weekly checklist
- Run the count every week and write it down.
- Change one thing at a time: the welcome text, the notice, the widget.
- Reply to every introduction within a day.
- Check the introductions forum still counts messages.
- Check trophies and promotions are being awarded.

FAQ
Why did a new member not get the welcome conversation email?
The conversation email depends on that member's own notification preferences. The conversation itself still appears in their inbox.
Why hasn't my first-post promotion applied yet?
Promotions run on a cron, and inactive members are promoted on their next login. Run the rebuild tool if you need it applied now.
Will the zero-post notice show to guests?
Not if you limit its criteria to registered members. Use a separate notice if you want to invite guests to sign up.
